Gyan Suite ("we", "our", "us") is committed to protecting the privacy of schools, staff, and students who use our Education ERP platform. This Privacy Policy explains what data we collect, how we use it, and how we protect it.

This policy applies to all services provided through gyansuite.in and any associated mobile or web applications.

2. Information We Collect

2.1 Account Information

When you register a school account, we collect:

  • School name, address, and contact details
  • Administrator name and email address
  • Billing and payment information (processed securely via payment gateway)
  • Subscription plan details

2.2 School-Entered Data

Data you enter into Gyan Suite on behalf of your school, including:

  • Student records (name, date of birth, admission number, class, parent details)
  • Staff records (name, designation, department, employment details)
  • Fee records, attendance logs, and academic data
  • Email templates and communication logs

2.3 Usage Data

We automatically collect technical data when you use our platform:

  • IP address, browser type, and operating system
  • Pages visited, features used, and session duration
  • Error logs and performance data

3. How We Use Information

We use the information collected to:

  • Provide, operate, and maintain the Gyan Suite platform
  • Process subscription payments and manage billing
  • Send transactional emails (OTPs, fee reminders, notifications)
  • Respond to support requests and customer queries
  • Improve platform features based on usage patterns
  • Ensure platform security and prevent unauthorized access
  • Comply with applicable laws and regulations

We do not use your school's student or staff data for advertising, profiling, or any commercial purpose beyond providing the agreed service.

4. Data Sharing

We do not sell, rent, or trade your personal information. We may share data only in the following limited circumstances:

  • Service Providers: Trusted third-party vendors (hosting, payment processing, email delivery) who process data solely to provide services on our behalf and are bound by confidentiality agreements.
  • Legal Compliance: When required by law, court order, or government authority.
  • Business Transfers: In the event of a merger or acquisition, your data may be transferred — you will be notified in advance.

5. Data Security

We implement industry-standard security measures to protect your data:

  • All data is transmitted over encrypted HTTPS/SSL connections

  • Daily automated backups with off-site storage
  • Role-based access controls — staff see only what they are permitted to see

While we use all reasonable measures, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security but are committed to protecting your data to the highest standard.

6. Data Retention

We retain your data for as long as your subscription is active. Upon account cancellation:

  • You may export all your school data before cancellation
  • Data is retained for 30 days post-cancellation to allow recovery
  • After 30 days, all data is permanently and securely deleted from our servers

7. Your Rights

As a data controller for your school, you have the right to:

  • Access: Request a copy of all data we hold about your school
  • Correction: Correct inaccurate or incomplete data
  • Deletion: Request deletion of your data (subject to legal obligations)
  • Portability: Export your data in a standard format (CSV/Excel)
  • Objection: Object to certain types of data processing

8. Cookies

We use essential cookies to operate the platform (session management, authentication). We do not use tracking or advertising cookies. You may disable cookies in your browser settings, but this may affect platform functionality.

9. Children's Privacy

Gyan Suite is a platform for school administrators and staff. Student data is entered and managed by authorized school personnel. We do not knowingly collect personal information directly from children. All student records are maintained under the school's responsibility as the data controller.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered account holders via email at least 14 days before any material changes take effect. Continued use of Gyan Suite after the effective date constitutes acceptance of the updated policy.
